Library search
Knowledge → Library lists everything in your organization's knowledge: notes, documents, web pages, FAQs, transcripts, and records. The header shows how many items are indexed and how many sources they came from.
Searching
Type in Search your knowledge…. Results appear in two passes: an instant pass from a copy of the index in your browser, then server results that replace them a moment later.
Every search matches on full text, exact titles, and exact identifiers such as part numbers. Your organization's synonyms (set under Settings → Answering, Vocabulary & synonyms) are applied, so a search for one term also finds its synonyms. Fields are weighted: title first, then subtitle, source, category, and summary, then team, type, status, and tags.
How results are ranked depends on how many there are:
Up to 2,000 matches: near-miss titles are included too, so a typo still finds the item. A note under the results says "includes near matches on titles" when this applied.
More than 2,000 matches: Most relevant ranks a window of 2,000 matches. The window takes titles that match or start with your query first, then the most recently updated matches, and ranks them; exact identifier matches get a boost. The note under the results reads "Most relevant ranks the 2,000 best matches" with a link to Browse every match by last updated if you want the full set.
Library search looks at titles, summaries, and metadata. For notes it indexes only the first 240 characters of content. To search the full text of notes, use Search inside notes on the Notes page. Asking a question in chat searches the full content of everything.
Filters and sorting
Type chips: All, Note, Document, FAQ, and a More menu with Web page, Transcript, and Record. Each shows a count; when you are not searching, types with no items are hidden.
All sources picker to limit results to one kind of source, such as uploads, websites, or a connected app.
A grid or list toggle.
Sorting defaults to Most relevant while searching and Most recently updated otherwise. Links under the results switch between relevance and last updated. Results are paged 50 at a time with Previous and Next.
There are no saved views in the Library.
Opening an item
Click an item to open its detail. The dialog shows who can see it and its classification, with Edit (Editors and above) to open Edit access & details, and a menu with Open full record and Copy link. Editors and above also see Move to Trash, and Set who published it when a document names no publisher.
Acting on many items
Click Select to select the current page, or Select all N to select every item matching the current filters, up to 5,000.
Use the selection bar: Access & classification opens the bulk editor; Delete moves the items to Trash. Clear selection resets.
Selection resets when you change filters or pages. Right after an import finishes, a banner on the Library offers Open run, Edit access & details for all, and Trash all for that run's items.
Trash
Deleting from the Library asks Move N items to Trash? and explains that trashed items disappear from the Library and answers but can be restored for the retention window. Open Trash in the Library header (Editors and above).
Each item shows Restore and Delete now, with how many days are left before it is deleted automatically.
Select items to Restore them or Delete N forever; Empty Trash clears everything. Permanent deletes ask you to confirm and cannot be undone.
Editors restore. Only Admins delete permanently.
The retention window is Trash retention under Settings → Security → Data: 7 to 365 days, 30 by default. Items are already excluded from AI answers the moment they are trashed.
