Classify with AI
Classification is what lets answers shelve, weight, and age your knowledge: category, tags, the questions an item answers, trust, sensitivity, and how long it stays accurate. You can fill these by hand, or let the AI read the content and suggest them. You confirm everything by saving.
Fill with AI in a note
Open the note and click Sharing & classification (the sliders icon in the header).
Go to the Classify step. Under "Let the AI read the draft and fill what it can. You confirm everything." click Fill with AI. It reads the title and up to 12,000 characters of the note.
Review the fields. Each one the AI filled gets an AI filled chip; hover it for Why we picked this.
Change anything you disagree with, then continue to Review & publish and save.
The AI only fills fields that are empty or still on their default:
Category, Owning team, Tags (up to six, preferring tags your organization already uses), and Questions this answers (up to six).
Sensitivity — only ever raised from Standard. If it is raised, External Channels switches to Not shown and a notice explains why.
Trust — only if still Medium.
Stays accurate for — only if still Months.
It never fills the title, who at your company can see the note, External Channels (beyond the switch to Not shown above), Attributed to, or the wording rules. If every suggestible field already has a value, you see "Nothing to fill — the fields the AI could suggest already have values."
Fill with AI when adding a source
The Access step of the Add knowledge wizard has its own Fill with AI button on the Classification section. It suggests Sensitivity, Trust, Owning team, and Stays accurate for for everything the source will bring in. Your own picks are kept, and editing a field removes its AI chip.
Category and tags are not filled here. Instead, after you use Fill with AI, the Category and Tags fields show AI · after ingest: once each document is processed, the AI reads its actual content and writes a summary, three to six content tags, three to five questions, a category, and a readable title. A category you picked in the wizard wins over the AI's. AI tags are added alongside any tags you set; they describe content, never the source or format, so you will not see tags like "pdf".
The Sharing & classification dialog
The dialog has three steps:
Access — Who at your company and External Channels.
Classify — Fill with AI, Trust, Stays accurate for, Sensitivity, How the AI may use the wording, Owning team, Category, Tags, Attributed to (a person, or someone outside the organization with a name and role), and Questions this answers.
Review & publish — a summary of Company, External Channels, Sensitivity, Trust, Stays accurate for, and Classification, plus Agent reach, which shows which agents will use the note based on their knowledge rules.
Saving shows "Sharing & classification saved."
Changing many items at once
Bulk edits in the Library do not use AI; they apply the values you choose.
Open Knowledge → Library and filter to the items you want.
Click Select to select the current page, or Select all N to select everything matching the filters (up to 5,000 items; narrow the filters if you have more).
Click Access & classification in the selection bar.
In Edit access & details, change only the fields you want. Untouched fields keep each item's own values. You can also set Review state (Approved, Verified, Unreviewed, Draft, Archived, Rejected).
Click Apply to all.
Changing any access control (Who can see this?, Sensitivity, or External Channels) replaces the whole access policy on every selected item, so check the warning before applying. Personal notes are skipped; promote them from Sharing & classification first. Results appear as a notice such as "Updated N items."
The same dialog opens from the Notes list after selecting notes, and from an import banner on the Library (Edit access & details for all) right after a run finishes.
